Create a price look up

Set up new PLU codes for products with pricing and options

Every item you sell must have a unique price look up (PLU) code. To create a new PLU, follow the steps below:

​Tip: To help keep your records organised, start the code of similar items with the same digits. For example, hot drinks could be 100-199, soft drinks 200-299, and food items 1000-1099.

  1. Click POS Control then click PLU.

  2. Click New.

  3. Enter descriptions into the following fields:

    • Description.

    • Web Description.

    • Receipt Description.

    • Secondary Receipt Desc.

    • KP Description.

πŸ“Œ Note: By default, the kitchen printers, KV monitors, and receipt printers use the main description field if the others are blank.

  1. Select the required options from the drop-down lists:

    ​ Note: Depending on your system setup, some of these may not appear.

    • Sales Group: Select the required sales group.

    • Print Groups: Use to group PLUs together on printers.

      • This is an optional setting.

    • Keyboard Group: By adding PLUs to a keyboard group, you can generate keyboards as and when you need them.

      • This is an optional setting.

    • Prompt Group: Use to display a message when you select the PLU.

  2. Work through the tabs. Below is advice on filling in the more complex tabs:

Pricing

Enter your prices and the correct modifiers.

There are 36 prices available, split into two groups, each containing 18 modifiers:

  • Condiment price: Used when you use the PLU as a condiment.

  • Sales price: Standard price.

Modifiers have two jobs:

  • They define the quantity used by the PLU.

  • They provide a prefix on printouts, so staff and customers know the ordered size.

Tip: If required, you can create new modifiers and customise them to your needs.

Condiment List

A condiment list is a keyboard of PLUs that is linked to a main PLU.

Example:
As steak can be cooked in different ways, you can add a note by creating three PLUs called rare, medium, and well done. You don't need to set any options, other than the ones you're prompted for when you save. Add these three PLUs to a keyboard called Steak Cooking Options.

To be prompted for cooking options on the till, set this keyboard under condiment lists for the main steak PLU.

Barcodes

If you have a scanner on your till and sell products with barcodes, use the barcodes section to link barcodes to a PLU.

Printers and Kitchen Video

The printers tab is for setting which printer a PLU prints to, whilst the Kitchen Video tab is the same except for KV monitors.

Printer Control

This offers various printing options, most are self-explanatory, such as printing in double height and width. You can select more than one option.

Flags 1

There are many flags you can set on a PLU. The most common options are below:

  • Allow Zero Price Sale: Allows you to put the item through as zero price. You don't need to select this if you plan to use the PLU as a condiment.

  • Allow Price Override: Gives clerks the ability to change the price via a function, you can lock this to managers only. If the price is set to zero, and the Allow Zero Price Flag isn't selected, it automatically prompts for a price when you're putting it through. Clerks commonly use this setup for open food and open drink buttons.

  • Prompt For KP Message: Prompts the clerk to manually enter what gets sent to the kitchen printers or screens. Use this flag to create a manual kitchen message button.

  • Use Last Print Group and KP: Uses the print group and KP/KV of the PLU.

  • Allow PLU Edit from function: Edit the PLU via the edit PLU function on a till.

  • PLU Does Not Affect Qty: Stops the PLU from adding to the sales quantity in reports.

  • Stock Countdown - Use Mod Qty: When using the stock countdown feature on the tills, this flag makes it use the modifier factor to calculate the quantity, instead of just removing one each time.

Flags 2

These are customisable flags, such as minimum age check, where you can prompt to make sure a customer is of age before purchasing, and maximum qty per sale, which limits the quantity on an item per customer.

Notes

You can view and print PLU notes on a till using the PLU Info function. This is useful for cocktail instructions, and for helping staff answer questions, such as what sides come with a main meal.

Back Office

Accounts Code 1 is a mandatory setting.

Many people have three accounts; Dry, Wet, and Misc. This is for reporting purposes, but it's fine if you only have one account code set up that all PLUs report to.

Here, you can also set the tax rate (VAT).
​ Note: The VAT in this tab is ignored if you haven't selected the global flag Use Simple Tax. If Use Simple Tax isn't selected, you're using the tax group links system. You can find this in POS Control, Tax Group Links.

  1. From the options on the far right, select In Use.

  2. Click either:

    • Save And Send To Tills Now: Sends your changes to the till immediately.

    • Save: You can manually send updates to the till at a later date.
