Get started as an Access EPoS user

What you need to know as a read-only user or a restricted user.

Written by Dragan Ranisav

Access EPoS is a point-of-sale and hospitality management system designed for restaurants, bars, pubs, and cafes, helping teams manage transactions, daily operations, and reporting with ease.

📌 Note: As a new user, you'll find here the key articles and information you'll rely on most in your day-to-day work.

⚠️ Important: Your access level and security settings determine what actions you can take in the system, ensuring accuracy, security, and smooth operations across your venue.

This guide gives you a quick overview of the two main user types in Access EPoS, so you know exactly what you can do from your first day.

Clerk guides

A clerk operates the POSLink terminal during live service, processing transactions, managing open tracks, and handling payments for customers at the till.

They cannot access EPoS Manager, run reports, or make changes to system configuration. What you can do on the terminal is controlled by your clerk security level, which your administrator assigns.

Get support on your mobile using the POSLink QR code

If you need help during a busy shift, the Get Help! button on POSLink lets you scan a QR code with your personal mobile and open a chat with Fin AI — with your company, site, and terminal details already loaded, so the till stays free for service.

This article walks you through how to use the Get Help! button and what to expect when you scan the QR code, helping you get answers quickly without leaving your position.

Track your hours with staff clock-in

Clocking in and out is how Access EPoS tracks your working hours. If your venue uses this feature, you register your time at the start and end of each shift directly from the POSLink terminal using your clerk login.

This article explains how the clock-in and clock-out process works on the terminal, and what to do if your recorded hours don’t look right.

EPoS Manager guides

An EPoS Manager user has access to the web-based back-office application, where you can manage daily tasks such as cash declarations, sales reports, and daily operations across your venue.

What you can access within EPoS Manager depends on your user level, which ranges from 1 to 99. You can only make changes in areas your level permits — if you need access to something you can’t see, speak to your administrator.

Use the Access Digital Assistant

The Access Digital Assistant is built directly into EPoS Manager and is available whenever you need a quick answer. You can type a question or choose from a list of topics to get an instant AI-powered response, 24/7, without leaving the application.

This article explains how to use the Access Digital Assistant to find answers, access knowledge base articles, and connect to the support team when a more complex query needs human assistance.

Enter your cash declaration

A cash declaration is how you record your daily cash and card takings at the end of each trading day. Completing it accurately ensures your financial records are up to date and aligned with the correct business date.

This article shows you how to complete a cash declaration in EPoS Manager, including how to select the correct business date and input your takings accurately.

Set up your End of Day report

The End of Day report is a daily summary of your trading activity that closes the day’s transactions and prepares the system for the next trading period. Running it consistently ensures your records stay accurate.

This article explains how to schedule your End of Day report to run automatically each night, so your daily reporting is completed consistently without manual intervention.
