Manage room bookings, check-ins, and billing processes.

To manage room bookings, check-ins, and check-outs in EPOS Manager, follow the steps below:

๐Ÿค“ Tip: This guide covers how to book a room, check in a guest, and settle their bill upon departure.


Book a room

  1. Log in to EPOS Manager.

  2. Click Rooms and select Room Booking.

  3. Click on the room box under the date for the booking.

  4. For example, select Saturday the 9th of February for the Family Room.

  5. Enter the number of nights the guest will stay and the number of guests.

  6. Fill in the other required fields.

  7. Enter the guestโ€™s name and details.

  8. You can select an existing customer if they have stayed before.

  9. Click Save.

๐Ÿ“Œ Note: If the customer calls to cancel the booking, click on the booked room and then click the Delete button.


Check in

  1. Click Rooms and select Room Booking.

  2. Click on the customer booking.

  3. For a walk-in booking, select a blank space.

  4. Click Check In and then click Save.

  5. You can print a confirmation from this screen.


Settle a bill and check out

  1. The customer must settle their bill before checking out.

  2. You can print an invoice in advance to prepare for checkout.

  3. Click Rooms and select Room Booking.

  4. Click on the customer booking.

  5. Click Settlements and select Pay.

  6. You will see the amount to settle, for example, ยฃ97.80.

  7. This can be paid in full by selecting the payment method from the drop-down.

  8. Enter the amount and click OK.

  9. Alternatively, you can split the tender, settling part in cash and the rest by card.

  10. Once you click OK, the settlement will appear in the Settlement tab.

  11. Click Check Out.
